Acceptable Use Policy

This Acceptable Use Policy ("AUP") governs your use of ProposalForge("we," "us," or "our") at forgeproposals.com. By accessing or using the Service, you agree to comply with this policy in its entirety.

1. Introduction & Scope

This Acceptable Use Policy applies to all users of ProposalForge, including free-tier users, paid subscribers, team members, organization administrators, and any individual or entity that accesses or interacts with the Service in any capacity.

This AUP supplements and is incorporated into our Terms of Service. In the event of a conflict between this AUP and the Terms of Service, the Terms of Service shall govern unless this AUP explicitly states otherwise.

Violation of this Acceptable Use Policy may result in immediate suspension or permanent termination of your account, at our sole discretion and without prior notice for severe violations. We reserve the right to take any action we deem appropriate to protect the integrity of the platform and the safety of our users.

2. Permitted Use

ProposalForge is designed for contractors, tradespeople, and service professionals to streamline their business operations. The platform is intended to be used for the following legitimate business purposes:

  • Generate professional proposals using AI-assisted content creation
  • Create, manage, and send invoices and estimates to clients
  • Collect digital signatures on proposals, contracts, and agreements
  • Send professional communications to clients, including proposals, invoices, and reminders
  • Manage team members and organizations, including role-based access control
  • Use integrations such as Stripe Connect and QuickBooks for payment processing and accounting

All use of the Service must be for legitimate business purposes in connection with contracting, trades, or professional services. Any use of the platform outside these intended purposes may constitute a violation of this AUP.

3. Prohibited Conduct

You agree not to engage in any of the following prohibited activities when using ProposalForge. This list is not exhaustive, and we reserve the right to determine, at our sole discretion, what constitutes a violation of this policy.

Fraudulent & Deceptive Practices

  • Generating fraudulent, misleading, or deceptive proposals, invoices, or estimates
  • Inflating costs, misrepresenting the scope of work, or creating fictitious line items
  • Using the platform for any illegal activity, including but not limited to fraud, money laundering, or tax evasion
  • Impersonating other contractors, businesses, or individuals

AI Feature Abuse

  • Abusing AI generation features through prompt injection or manipulation techniques
  • Using AI features to generate harmful, offensive, or discriminatory content
  • Using AI-generated output to violate any applicable laws or regulations

Platform Abuse

  • Creating multiple accounts to circumvent free-tier limits or evade enforcement actions
  • Automated scraping, crawling, or systematic data extraction from the Service
  • Reverse engineering, decompiling, or disassembling any part of the Service
  • Uploading malware, viruses, or malicious code
  • Interfering with the platform's operation or other users' access to the Service

Communication Abuse

  • Sending spam, unsolicited communications, or bulk emails through the platform
  • Harassing or threatening clients through proposals, invoices, or messages sent via the Service

Licensing & Redistribution

  • Violating applicable contractor licensing, bonding, or insurance requirements in the jurisdictions where you operate
  • Reselling, sublicensing, or commercially redistributing access to the Service without our express written permission

4. Content Standards

All content created, uploaded, or transmitted through ProposalForge must meet the following standards:

  • All content must be professional, accurate, and lawful
  • Proposals must accurately represent the work being offered, including scope, materials, timelines, and pricing
  • Invoices must reflect actual goods delivered or services rendered
  • Estimates must be made in good faith based on reasonable assessments

You are solely responsible for the accuracy, legality, and appropriateness of all content you create, upload, or transmit through the Service. ProposalForge does not pre-screen content but reserves the right to review and remove content that violates this policy.

5. API & Integration Use

ProposalForge connects with third-party services including Stripe Connect, QuickBooks, and Xero to provide seamless business operations. When using these integrations, you agree to the following:

  • Use connected integrations only for their intended purpose and in accordance with their respective terms of service
  • Do not abuse OAuth tokens or authentication credentials obtained through integrations
  • Do not perform unauthorized data extraction through integration APIs beyond what is necessary for normal platform use
  • Keep all integration credentials secure and do not share them with unauthorized parties

You are responsible for maintaining the security of any integration credentials associated with your account. Notify us immediately at legal@forgeproposals.com if you believe any integration credentials have been compromised.

6. Rate Limits & Fair Use

To ensure fair and equitable access for all users, ProposalForge enforces rate limits and usage quotas across the platform. You agree to the following:

  • The platform enforces rate limits to ensure fair access for all users
  • Deliberate circumvention of rate limits, whether through technical means or multiple accounts, is strictly prohibited
  • Automated systems, bots, or scripts that generate excessive requests may be throttled or permanently blocked without notice
  • Plan-specific usage limits are enforced as described in the Terms of Service

7. Enforcement

We employ a graduated enforcement approach to address violations of this AUP. The following actions may be taken, in order of severity:

  • (a) Warning: We will send a warning via email to the address associated with your account, describing the violation and requesting immediate corrective action
  • (b) Temporary Suspension: Your account access will be temporarily suspended pending review. You will be directed to a suspension notice page while your account is under review
  • (c) Permanent Termination: Your account will be permanently terminated and you will be banned from creating new accounts. You will be redirected to a block notice page and will no longer be able to access the Service

We reserve the right to skip any enforcement steps and proceed directly to suspension or termination for severe violations, including but not limited to fraud, illegal activity, or actions that pose an immediate threat to other users or the integrity of the platform.

All enforcement decisions are made at our sole discretion. We are not obligated to provide advance notice or an opportunity to cure before taking enforcement action, although we will endeavor to do so when circumstances permit.

8. Reporting Violations

If you believe a user is violating this Acceptable Use Policy, we encourage you to report the violation promptly. Reports help us maintain a safe and trustworthy platform for all users.

To report a violation, please email legal@forgeproposals.com with the following details:

  • A description of the suspected violation and the specific section of this AUP you believe has been violated
  • Any relevant evidence, including screenshots, URLs, or document references
  • The date and time the violation was observed
  • Your contact information for follow-up questions

We investigate all reports promptly and take appropriate action as described in Section 7. The identity of the reporter will be kept confidential where possible and to the extent permitted by law.

9. Changes to This Policy

We may update this Acceptable Use Policy from time to time to reflect changes in our practices, the law, or the features available on the platform. When we make changes:

  • We will provide at least 30 days' advance notice for material changes to this policy
  • Notice will be provided via email to the address associated with your account and/or by posting a prominent notice on the platform
  • The "Last Updated" date at the top of this page will be revised accordingly

Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated policy. If you do not agree with the revised policy, you must stop using the Service and close your account.
